Introduction
Selecting the correct location where a project will occur at proposal stage is important because it ensures the correct Facilities and Administrative (F&A) rate (onsite/offsite) is being applied to the project. The Activity Location page will help lead you to select the appropriate location during Initial Review or later if updates are needed.
Steps
- In an open transaction, navigate to the Activity Location page for the agreement record.
- Update your selections in the center panel. See information below for each question option.
- The initial question regarding multiple locations will default to No for new records. This can be changed to Yes and you will be presented with a second location option to enter. Up to 4 locations can be entered. A % of work must be entered for each location. If the locations have different designations (example one is offsite and one is onsite), there must be a majority % of work at one location. Each location can be selected as indicated in questions 2-5 below.
- If the PI has previously awarded records and the PI sites have been designated, the first location question will default to Yes and include the list of these related PI sites. If the PI does not currently have any associated PI sites, then this question will automatically default to No and users should move to question 3.
- This question will present you with the option to select the Department, Unit and Unit Site to return a list of related PI Sites. This should be used instead of question 2 when PIs do not yet have an associated PI site. The available list of departments is based on the institution for the Agreement.
- This question will provide a list of offsite buildings and floors. Onsite buildings and floors should already have a related PI site established so please use question 2 or 3 in those cases.
- The final question allows you to enter a new offsite location. You must select the new location type from the dropdown.

Note 1: If the location selected is considered a “Virtual” site, you will be required to enter a comment with the reason for selecting this location. Note 2: For Program Projects (PPGs), the location is selected in the parent record at Initial Review. If awarded this information will be adjusted for each subproject to assign each to the correct location. |

Will the research/personnel be working in multiple locations for this project? Answering yes, allows for a distribution of work across multiple locations. Do not include locations related to: subcontracts, patient care expenses, or core user fees listed within the proposal. If this is a Program Project, please see specific instructions on how to report project locations. |

Is the majority of the work expected to occur in the PI’s existing work locations? |
Identify the research work location(s) where the work will be done. A PI Site is generally defined for the main PI(s) at a research work location. A PI Site is a defined research space in a building and floor and refers to space predominantly used by research personnel for research purposes. |

Is the majority of the work expected to occur in another work location at the hospital? |
This question applies to collaborations with other Departments or other PI’s within your own Department. Spaces are clustered as Unit Sites with designated PI Sites. A PI Site is generally defined for the main PI(s) at a research work location. |

Is this work occurring at a known building and floor where research occurs? |
This question applies to work occurring in selected locations other than designated research space (i.e., not a PI Site). These locations have an Offsite F&A classification. If the research is occurring in a designated research space, please select the PI-Site(s) using the previous questions. |

The majority of the work is expected to occur in space not defined above (locations include new research location, international or field work). Please describe where the work will be happening. |
This option would be selected where all other options above do not apply. Scenarios: New PI-Site; Hospital Offsite Location (i.e., locations that are predominantly used for Clinical or Administrative purposes; or Non-Hospital Location (i.e., field work in the community or international locations, or work at a local hospital.) |
