PURCHASE APPLE PRODUCTS

Apple products are purchased in MGB PeopleSoft via our vendor Apple for Education customers. As education customers, MGB is eligible for special product pricing as well as promotional savings that vary by product. Please note that as education customers, MGB is also subject to Apple’s return policy that states all sales are final unless there is a manufacturers defect or error. 

Effective January 4th, 2016, MGB leverages Apple Professional Services (APS) for asset management of laptops, desktops, iPads and Thunderbolt displays. Products will be shipped to a local 3rd party APS provider, then delivered directly to the Ship To designee listed on the Purchase Order.

Most configurations for Mac devices are "Build to Order" and will ship from China. Processing and shipping will take from 2 to 3 weeks depending on the product(s) purchased. Include addition time for new products and around holidays. Please include an extended AppleCare warranty when purchasing any Apple product. Only Apple can repair their products, and AppleCare ensures any concerns with your hardware, operating system, or applications will be addressed.

WORKFLOW FOR APPLE PRODUCTS

Purchasing through Apple Education

1. Develop your product requirements and create a proposal by following this guide (PDF). 

2. Once you receive your Proposal:

  • Open a Requisition in PeopleSoft / eBuy for Apple Products: Login to PeopleSoft > eBuy > Requisition
  • In the comments field, enter the name and MGB User Name ( e.g. abc12) of the recipient. Failure to include the user name will result in delays or a rejection of your order
  • You must add the asset tagging and setup fee for each Mac or iPad.  If the fee is missing, the order will be delayed or rejected

 

  • When purchasing in bulk, you typically have two options for handling recipient notifications:
    1. Consolidated Notifications: Please put your email address as the purchaser, and you'll receive all notifications. This is the preferred option unless individuals ask to be notified directly. This option consolidates all notifications to you as the purchaser, making it easier to manage if you're handling multiple purchases or recipients.

                  b. Individual Emails: Apple will send individual emails to each recipient, which                               means each recipient will receive separate order notifications.

 

The choice between these options depends on your preferences and the specific circumstances of your purchase. If you need to track each recipient separately or provide personalized information, individual emails might be preferable. On the other hand, if you prefer simplicity and efficiency in managing notifications, receiving all notifications in one place might be more convenient.

3. Upon approval, Materials Management will prepare the Purchase Order (PO) and place your order directly with Apple. You must follow the above process in eBuy to make a purchase, please disregard the "How to Order" comments on your proposal. Most configurations for Mac devices are "Build to Order" and will ship from China. Processing and shipping can take from 1 to 3 weeks depending on the product(s) purchased.

All Macs, iPads, and iPhone ship from Apple to Apple's Configuration Center first

  • Standard items ship 3-5 days after the PO is received
  • Custom configurations will take up to 5 weeks longer

Items will ship from Apple's Configuration Center to you about 5-7 days after arrival at Apple Configuration Center

Note: Equipment shipping from Apple's configuration center will not ship to home addresses. 

Delivery to Site

Orders at main hospital locations ship to the mailroom before they are sent to the final recipient.

Check Order Status

If you have not received your order of standard (i.e. non customized) catalog items after 2 weeks or if you have not received your order of customized items after 6 weeks:

  1. You may open a request/inquiry with the Service Desk or 857-282-Help (4357).  Have the request placed in the "Apple Ordering – MGB" queue.

        2. Please include proposal number or PO in your request. 

Cancel an Order

You can cancel an order if the following applies:

  • PO has not been generated by Supply Chain and Dispatched to Apple
  • Apple has not shipped your order to the Apple Configuration Center
  • You have not already received the order

Note: Custom configured items cannot be returned. In addition, orders that have been opened, regardless of whether they have been used cannot be returned

Special Requirements for Purchasing iPads

A written justification is required when purchasing iPads. Please compose a justification letter describing why the device is necessary for the project; how it will be used; and its purpose in relation to the project's scope of work. This justification must be uploaded and attached to your PeopleSoft requisition. 

Purchase Apple products for personal use

Your MGB ID will qualify you for educational discounts at any Apple Store or on the Apple Store for Education (search for Mass General Brigham as your school). All personal devices for business purposes must be configured to comply with MGB Security & Privacy policies.
