When an award is received or anticipated, such as during the Just-in-Time process, and the agreement is updated accordingly, an Activity Location Validation action is generated. The Space Analyst reviews the activity location and, if updates are needed, asks the Principal Investigator (PI) and department contact(s) to confirm or revise the location information.
Steps
- You will receive an email and Agreement action to review the location. Click on the provided link to open the validation.
- When the action opens, expand the Notes in the right panel to see comments from your Space Analyst.
- Update your selections in the center panel and click Save. See information below for each question option.
- Once updates are completed, select Requires Modifications, add a comment and click the “Sign Off” button.
- You may also be asked to Approve an update made by the Space Analyst during their review. You can still adjust the location and select Requires Modifications if you feel the selected location is incorrect.
- The action will now be sent back to the Space Analyst for review and approval. The Space Analyst may send it back to you again for additional changes until they agree with the selected location.
- Once approved the location will update the Agreement record automatically with the new location. Any adjustments to budget based on a designation change (onsite to offsite or offsite to onsite) will be done manually by your Agreement’s contact based on the record type.

Do not include locations related to: subcontracts, patient care expenses, or core user fees listed within the proposal. Identify the research work location(s) where the work will be done. A PI Site is generally defined for the main PI(s) at a research work location. A PI Site is a defined research space in a building and floor and refers to space predominantly used by research personnel for research purposes. |

This question applies to collaborations with other Departments or other PI’s within your own Department. Spaces are clustered as Unit Sites with designated PI Sites. A PI Site is generally defined for the main PI(s) at a research work location. |

This question applies to work occurring in selected locations other than designated research space (i.e., not a PI Site). These locations have an Offsite F&A classification. If the research is occurring in a designated research space, please select the PI-Site(s) using the previous questions. |
