Insight Space Module: Security Outline & Request 

The Insight Space module has two levels of security a user can be assigned with additional layers below those. Level A relates to Space (room), Agreement, and People allocations. Level B relates to Asset specific roles where users can view, edit and certify. A user can have any necessary combination of the two levels and the system will restrict or allow views into this data as assigned.  

Level A: Roles for Space, Agreements, and People  

  1. View: User can only view information. No editing or requests can be made in the Space module 

  1. Edit: User can Add/Edit/Delete People allocations in the Space module 

  1. Certify: User is requested to certify the PI-Site(s) they have access to and can edit People allocations. If assigned Certify at the department level and a Department Administrator, they will be requested to Approve the entire department. 

    1. There can be one or more users assigned to any role. User to complete action first will remove the actions from the others queue. 

Level B: Roles for Assets 

  1. View: User can view and edit asset details. No editing or requests can be made in the Space module. Asset view lets user dispose and update editable fields, 

  1. Certify: User is requested to certify the PI-Site(s) they have access to for the Space Asset Certification. This role also allows user to dispose and update editable fields.

 

Request to Departments:     

  1. Identify users who need access to the Space module for transparency into the allocations and completing the certification process for Assets and Space.  

    • Indicate security access level against Space Hierarchy. 

      1. Department > Unit > Unit-Site > PI-Site 

    • Indicate security role for each level:  

      1. View / Edit / Certify for Level A 

      1. View / Certify for Level B  

    • Note required access level: Certify for Department at Level A & B.  

  1. Compile list and review with RSMG contact if any questions or concerns.  

  1. The Department Space Key Giver for each Department is responsible for making updates in Insight Manage Profiles and Security.  

 

How to identify your Department Space Key giver: 

  1. Navigate to Insight Manage Profiles and Security 

  1. Select Research Contacts 

  1. Search and select the corresponding organization (COS) you are looking for 

  1. Search and select ‘Department Space Key giver’ from Contact Role.  

This corresponding user is responsible for your Department or Units security access to the Insight Space module.

Example of space Hierarchy:  

User has Certify level access to entire Surgery department. Will be required to approve Department at review step.  

User has edit access to one Unit within the Department of Dermatology.  

User has edit access to one PI-Site within the Orthopedics Department.
