Agreement Status Tracking
All transactions handled by Research Contracting Groups are tracked in a Deliverable inside of an Insight Agreements record. You can find the status of agreements and other transactions pending with Research Contracting Groups by either running the (A) Department Worklist, which provides a consolidated list of all pending items by Hospital Chief Code, or (B) going into the specific Agreement record and reviewing the Deliverable.
Running the Department Worklist
- Open the Department Worklist in Strategy
- Select Agreement Contracts
- Select RM Contracts

Reviewing a Deliverable
- Find Deliverables folder in the left navigation pane below Project Information in the Insight Agreements record.
- Select the appropriate Deliverable Category
- Click the hyperlink to see the deliverable details
- Inside the deliverable, the Deliverable Holder is at the top. The Holder is the person who is currently handling the transaction.
- Scroll down the deliverable and you will see a chronology of status updates and comments.
- Date: date comment was entered
- Status: status of the transaction
- By: the person who made the comment, usually the Holder
- Comment: detailed comment outlining steps taken by the Holder


Deciphering – Deliverable Statuses
All statuses for agreements are listed below. Some or all may be used for any particular agreement:
- Agreement In - Unexecuted Agmt Rcv'd: incoming agreement has arrived and deliverable has been created; agreement attached under Documents as "YR1 AgmtIn New Unexecuted."
- Agmt Out – Requested: Agreement request has been formally requested and insight and is pending assignment and formal review by the contracting team
- Agmt Out – Pending Details: Outgoing subcontract request has been routed to MGB study team for completion. Upon completion the request is routed back to post-award for review
- Agmt Out – Pending Vetting: Outgoing subcontract is with a “new to MGB” foreign collaborator for vetting to ensure compliance with the necessary auditing and fund management requires tied to the prime award. This may also be used if the foreign collaborators information is outdated and updates are needed. Contract will progress to the drafting stage only once the foreign vetting process has been completed.
- Agmt In/Out-Pending DA/PI Appvl: agreement is routed to PI/DA for approval.
- Agmt In/Out-DA/PI Approved: PI/DA has reviewed and approved the contract for review, drafting, or issuing to the other party
- Agmt In/Out- DA/PI Denied: PI/DA has reviewed and rejected the contract for review, drafting, or issuing to the other party. Rationale for rejection can vary and next steps will depend on the fact pattern
- Agmt Out – Pending GA: Outgoing subcontract request from study team is pending post-award grants admin’s review.
- Agmt In/Out-Assigned: Agreement Associate is reviewing the terms of the agreement and identifying negotiation points
- Agmt In-Pending DA/PI Docs: Agreement Associate may reach out to the department to request sponsor required documents such as a revised budget or PI signature
- Agmt In/Out-Pending Innovation: Agreement Associate is conferring with Innovation on IP related terms and questions
- Agmt In/Out-Pending Security Review: Contracts has routed specialized or non-standard data security terms in the agreement to RISO or ERIS for review/approval.
- Agmt In/Out-In Negotiation: Agreement Associate is negotiating terms with a sponsor, collaborator, data/material provider, et.al.
- Agmt In/Out-Other Resolved: Agreement has been closed after communication with MGB study team and the other party. Rationale for closing the agreement will depend on the circumstances.
- Agmt In/Out-Partially Executed: Agreement Associate has obtained Partners' signature on the agreement; awaiting sponsor signature
- Agmt In/Out-Fully Executed: negotiations have concluded and both Parties have signed the agreement and the study teams can start work on the project or receive the necessary data or material
- On Hold: Utilized in situations where there have been extensive internal or external delays which are preventing the agreement from moving forward to the next phase of the agreement process. Rationale for placing a contract on hold is situational.
