HOWTO: Insight > Agreements > Request Department Change (RDC)

Introduction

Changes to the Project Information area of pending, awarded, or executed agreements are made using the Request Department Change (RDC) action. Each record type will allow only certain edits based on status. The RDC must be submitted when complete for the information to be reflected in reporting and to ensure that other users can make necessary updates to the record.

Steps

  1. Open the agreement you need to make edits for.
  2. Expand the Actions menu in the left panel.
  3. Select ‘Request Department Change’.
  4. Select OK.
  5. Make changes to the Agreement as needed. Pages which do not allow edits will have a lock icon in the left navigation.
  6. The RDC Checklist page must be completed. Some updates will automatically set the RDC Checklist page.10. When all necessary updates are completed, add a comment and click the Submit button in the right panel.
  7. Based on the record, status and/or updates, the RDC may require approval from central staff. The workflow indicator will let you know if a notification or action as generated for the central staff.
  8. Similar to the Initial Review (IR) transaction, the reviewer can send back the RDC with comments for additional edits. 

Important notes:

  • RDCs cannot be created on records which are still in the Initial Review process (i.e. the status of the record is Development).
  • The RDC transaction will generate actions and reminders for users to ensure that they are completed and submitted in a timely manner. An email reminder will be sent every 3 days if you create but do not submit an RDC. 
  • Until the action is approved, the record will not officially reflect the requested changes. 

 

Tips:

  • If you started but will not submit an RDC, you must withdraw the RDC. Open the record and click the Withdraw button (see #9 in the screenshot below) and enter a comment. This will stop all reminder emails and open the record up for another user to create an RDC. 
  • New attachments can be added to the records via the RDC Checklist page.
