INFO: Zoom Overview - Enterprise Corporate or Basic Zoom

This document outlines the different non-clinical versions of Zoom accounts: Enterprise Corporate or Basic Zoom.

Enterprise Corporate and Basic 

Basic accounts are automatically assigned to users that perform a self-sign-up through https://partners.zoom.us/signup. These accounts do not consume a paid-license and limit video calls to 40 minutes or less. 

Enterprise Corporate accounts (Mass General Brigham Enterprise License) are those that have been provisioned/imported by a Zoom administrator (IS and Collaborative Media team for Enterprise licenses) consume a paid license, do not have 40-minute call restrictions and allow for additional customization.

If you want to downgrade your upgraded Zoom account to a free Basic account, please email PCMVideoconferencing@partnershealthcare.onmicrosoft.com requesting the change. DFCI users should contact the DFCI Telecom team.

Note: Accounts created directly from Zoom may have a 40 minute limit. For more information, please see TRBL: Zoom 40 Minute Limit

Zoom Password

Zoom uses a password separate from the Mass General Brigham password. Users can reset the password from https://zoom.us/forgot_password

FAQ

Zoom Installation

Visit zoom.us/download and click on the Download button for the Zoom Client for Meetings. The Zoom Mobile App can be downloaded and installed on an iPhone/iPad from the Apple App Store or on an Android device from the Google Play Store.

Zoom Outlook Plugin

Visit zoom.us/download and click on the Download button for the Zoom Plugin for Microsoft Outlook. You can find detailed instructions for the Outlook desktop client Zoom plugin here.

Zoom: Have an Assistant Schedule a Meeting

Both you and the assigned scheduler must have licensed Zoom accounts.

The user must first grant scheduling privilege to the scheduler through their settings.

Zoom: Alternative Host

Both you and the alternative host must have upgraded Zoom accounts.

Alternative Hosts can host the meeting in your absence (or automatically become co-hosts when you are there). Detailed instructions available here.

Zoom Meeting Attendance Tracking

There was a HIPAA compliance measure added and user name and emails are no longer visible on the reports.

There is a workaround: you'll need to create a Webinar (NOT Meeting) on Zoom, with the 'Registration Required' option enabled. The host will be able to track the participants as they arrive and be able to generate reports after the meeting as well.

You will need to list the other participants as “panelists”, either when setting up the webinar, or after people join, via the Participants button.

Zoom Cloud Recording

Cloud recording for Mass General Brigham Zoom accounts have been disabled due to HIPAA security measures.

Zoom In-Meeting Chat

In-meeting chat for Mass General Brigham Zoom accounts cannot be copied or saved due to HIPAA security measures.


Escalation

Access Issues

  • DFCI Users should contact the DFCI Telecom team.
  • For all other users, please contact the Service Desk to escalate a ticket to the video conferencing - phs team.

    • Once resolved, these tickets should be closed using one of the following cause codes:

      • Enterprise Corporate
      • Clinical

General Zoom Use Issues

Issues using Zoom for non-clinical purposes such as meetings should be escalated to:

  • DFCI Users should contact the DFCI Telecom team.
  • For all other users, please contact the Service Desk to escalate a ticket to the video conferencing - phs team.

    • Once resolved, these tickets should be closed using the Enterprise Corporate cause code.
