Overview of Zoom Accounts

Note: Telehealth (aka Virtual Care) Teams do not support DFCI or IHP.  DFCI and IHP have their own instances of Zoom and their own support Teams.

Zoom is supposed to be used for Clinical purposes. As Mass General Brigham (MGB) transitions to Microsoft Teams as the standard for online meetings, Zoom will remain available for patient care and approved use cases. Clinical users will continue to use Zoom for patient interactions.  To request a Zoom account for Clinical use please refer to HOWTO: Request Zoom Videoconferencing Account

Note:  Shared email addresses cannot be used for Zoom.  

Downgrade Zoom Access

If you want to downgrade your upgraded Zoom account, contact the Digital Service Desk to have a ticket opened with the telehealth platform strategy - phs

Zoom Installation

Visit zoom.us/download and click on the Download button for the Zoom Client for Meetings. The Zoom Mobile App can be downloaded and installed on an iPhone/iPad from the Apple App Store or on an Android device from the Google Play Store.

No Plugins are supported

 

Zoom: Have an Assistant Schedule a Meeting

Both you and the assigned scheduler must have licensed Zoom accounts.

The user must first grant scheduling privilege to the scheduler through their settings.

Zoom: Alternative Host

Both you and the alternative host must have licensed accounts.

Alternative Hosts can host the meeting in your absence (or automatically become co-hosts when you are there). Detailed instructions available here.

 

Zoom Meeting Attendance Tracking

There was a HIPAA compliance measure added and user name and emails are no longer visible on the reports.

There is a workaround: you'll need to create a Webinar (NOT Meeting) on Zoom, with the 'Registration Required' option enabled. The host will be able to track the participants as they arrive and be able to generate reports after the meeting as well.

You will need to list the other participants as “panelists”, either when setting up the webinar, or after people join, via the Participants button.

Zoom Cloud Recording

Cloud recording for Mass General Brigham Zoom accounts have been disabled due to HIPAA security measures.

Zoom In-Meeting Chat

In-meeting chat for Mass General Brigham Zoom accounts cannot be copied or saved due to HIPAA security measures.

 

How long does the Clinical License last?

Zoom accounts that have been inactive for 6+ months will be downgraded to an unlicensed account that can be used to join meetings only.  A licensed account (Basic or Workplace Enterprise) is needed to host meetings
