Since LabArchives was first launched at Mass General Brigham in 2016, the program has 20,975 notebooks and is steadily growing.

Project Stats

In FY2024

  • 20,975 total notebooks

  • 1,885 new notebooks created

  • 67k+ sessions, on average, per month

  • 180k+ activities, on average, per month

Typical activities include: uploading a file, adding notes, reading an attachment, and so on. Some labs have folder monitoring set up so all files added to a given folder on the user's desktop (or an iPad in a wet lab) will be automatically uploaded and versioned in LabArchives.

There are Total 17,564 LabArchives accounts, of which 1,816 were added in FY24. There are seasonal peaks to account creation, but we average 150 new users per month. There are 2,336 active users per month, on average.

MGH (58.64%) and BWH (30.45%) remain the largest users of LabArchives.

Support Stats

LabArchives End User Support is directly managed by LabArchives. Additional support for MGB ELN Policy requirements and some basic end user support, is provided by MGB Digital Research Applications team.

Most of our in-house support requests are for login-related issues, questions related to policy, help managing the off-boarding of PIs who are moving to other institutions, and reassigning ownership notebooks for grad students who left MGB without having assigned ownership of their notebooks to their PI.

Support requests can vary wildly, from 1 per week to 20+ at once, if an entire lab is moving to a new institution. On average, there are 5 per month (unchanged from 2023).

Standards and Certifications

FedRAMP "In Review" status for FedRAMP approval. Has been added to FedRAMP marketplace.

SOCII Audit Completed with "Clean" opinion, no Deficiencies and no User Control Considerations found. Digital Research Enterprise Research Applications has created a new review process template and checklist for reviewing and documenting SOCII Audit results.

MGB Research Compliance Internal Audit completed.

Feature Additions and Updates in FY2024

  • Introduced new role, Account Administrator, to reduce the burden on notebook Owners when it comes to managing notebook members. 
  • New option to create Offline Folder.     
  • Folder Monitor and MS Office Plugins now utilize OAuth to enable direct login via SSO when accessing these desktop applications.  Users who authenticate with email and password will be able to login using the External App Token available from within the ELN.   
  • New option to duplicate page and folder within the same notebook to make it easier to utilize experiment templates based on a page or a workflow that uses a folder and its contents.   
  • Sketch/Annotator compatible with mobile devices! 
  • Copy selected table cells and paste to a larger group of cells with the selection filled out by repeating the pasted data.  
  • Open multiple pages from the same notebook within the same window or to open multiple notebooks in different tabs to easily view and copy templates from one page or notebook to another.
