How to Decommission a Database hosted by ERIS

There are several options for decommissioning or deleting a database that ERIS has administered for you.  The user can choose to keep a backup of the database, or complete deletion of the database and retaining no copies, by using one of the following options:

  1. Complete drop/deletion of the database.
  2. Drop database but retain data with ERIS storage.
  3. Drop database but retain data on your own.

If you are no longer using your database actively or if your study is closed, please contact rcc@partners.org.  To expedite your request, please let us know what you would like to do with the data in accordance with any regulatory requirements surrounding your research. Please read this article for guidance and contact us with any questions or concerns.

1. Complete drop/deletion of the database.

If you choose that your database is no longer in use, and you do not want any copies of this database to exist, use this option.  Please open a ticket to our team by sending an email to rcc@partners.org, with a subject heading “Delete/Decommission Database”.  In your email, please be specific that you would like your databases deleted – and that you would like no copies of this database to exist.  We will delete the database from the server, and all backups/copies of the database will age off – all copies will cease to exist in about 35 days.  Again – we will retain no copies of your database when using this option – and we will not be able to restore, or retrieve any data once the backup ages out.

2. Drop database but retain data with ERIS storage.  

If you choose that your database is no longer in use, but you would like to retain a backup of the database, in case the database would need to be restored at a later date, use this option.  We offer a variety of services for storage (a place to store your backup of the database), for a complete list of services that we offer, please use this link:  http://rc.partners.org/storage.

Once you select which storage option is best for your database backup, please open a ticket to our team by sending an email to rcc@partners.org, with a subject heading “Delete/Decommission Database”.  In your email, please be specific stating that you would like a backup of your database placed in the storage that you had decided on.  We will place a full backup of your database prior to the deletion from the server.  This will allow you to restore the database from your full database backup at a later date.

3. Drop database but retain data on your own. 

If you choose that your database is no longer in use, and you would like a backup of the database sent to you for storage, use this option.  The client would be responsible for storage of the backup, as well as securing the backup file to meet any HIPAA regulations (if necessary).  This would allow the client to restore the database on their own device, or if needed – could be sent back to research for a restoration of the file.  If this option is chosen, please open a ticket to our team by sending an email to rcc@partners.org, with a subject heading “Delete/Decommission Database”.  In your email, please be specific stating that you would like a backup of the database sent to you, and the database deleted.
